Privacy Policy

Last updated:

This Privacy Policy explains how PanoCool (“we”) collects, uses and shares information about you when you use pano.cool, our apps and related services (the “Services”), and the choices you have.

1. Collection of Information

Information You Provide to Us

We collect the information you give us when you create an account, build and share tours, contact our support, or otherwise communicate with us. This includes your name, email address, profile photo, bio and other profile details, and the content you add: photos, 360° photos and videos, audio, text, floor plans and tour settings.

When you invite someone to work on a tour with you, you give us their email address. We use it only to send the invitation and to give that person access to the tour.

We don’t collect payment card details. Payments are processed by Paddle, which sells PanoCool subscriptions as our reseller. Information you give Paddle to make a payment is handled under Paddle’s privacy policy.

Information We Collect Automatically When You Interact with Us

When you use the Services, we automatically collect some information:

  • Usage information: we record how people use our website and apps, such as the pages visited, the features used, the actions taken in the editor and the errors that occur. When you are signed in, this is linked to your account. We use a product analytics service to do this. We don’t do this on published tours (see When You View a Tour below).
  • Subscription information: when you subscribe or buy something, we receive details of the purchase from Paddle, such as your plan, its price and its dates.
  • Device and log information: like most websites, our servers record information about each request, such as your IP address, browser type, operating system, the page or file requested and the time of the request.
  • Cookies and similar technologies: we use cookies and your browser’s local storage to keep you signed in, remember your preferences (such as dark mode), remember a partner’s referral code for 60 days when you arrive through their link, and for product analytics on our website and apps. We don’t use advertising cookies. See Your choices below for how to control cookies.

Information We Collect from Other Sources

If you sign in with Google or Apple, we receive basic details from that account, such as your name, your email address and, from Google, your profile picture, as allowed by the permissions you give. If you connect your Google account to publish photos to Google Street View, we keep an encrypted sign-in token for that connection. We also receive the status of your subscription and payments from Paddle.

Information We Derive

Our analytics service may estimate your approximate location, such as your country or city, from your IP address.

Photos and Location Data

When you add photos to PanoCool, we store them and read details stored in them, such as their size and, if your camera recorded it, where the photo was taken (GPS coordinates). We keep that location with the photo’s scene so features such as tour maps can use it. Anyone who can view a tour can see its photos and may be able to see where they were taken. If you don’t want to share a photo’s location, remove it from the photo before you add the photo to PanoCool.

When You View a Tour

PanoCool doesn’t use analytics or advertising cookies on published tours, and we don’t track the people who view them. To show a tour, your browser connects to our servers and content delivery network, and to services that provide fonts, icons and maps; like any website, they receive your IP address and browser details. A tour’s owner can add their own Google Analytics to a tour, which is covered by the owner’s privacy policy. Tours can also include content from other services, such as embedded videos, which those services handle under their own policies.

2. Use of Information

We use the information we collect to provide, maintain, and improve our Services, which includes hosting, publishing and sharing the tours you create and running the features you use. We also use the information we collect to:

  • Create and maintain your PanoCool account;
  • Process transactions and send related information, such as confirmations, receipts, and user experience surveys;
  • Send you technical notices, security alerts, and support and administrative messages;
  • Respond to your comments and questions and provide customer service;
  • Communicate with you about new content, products, services, and features offered by PanoCool and provide other news and information we think will interest you (see Your Choices below for information about how to opt out of these communications at any time);
  • Monitor and analyze trends, usage, and activities in connection with our Services;
  • Detect, investigate, and prevent security incidents and other malicious, deceptive, fraudulent, or illegal activity and protect the rights and property of PanoCool and others;
  • Debug to identify and repair errors in our Services;
  • Comply with our legal and financial obligations; and
  • Carry out any other purpose described to you at the time the information was collected.

3. Sharing of Information

We share personal information in the following circumstances or as otherwise described in this policy:

  • With other people, as you choose: anyone with a published tour’s link can see the tour, including its photos, text and any location details in them. If you turn on your portfolio page, it shows your name, photo, bio and the tours you list on it. People who work on a tour with you can see your name and email address.
  • With service providers that run parts of the Services for us: hosting, storage and content delivery (such as DigitalOcean, Amazon Web Services, Vercel, Cloudflare, Upstash and Google Cloud), payments (Paddle), product analytics (Mixpanel), email delivery, error notifications, customer support and AI services (see sections 7 and 8).
  • We may disclose personal information if we believe that disclosure is required by applicable law or legal process, including lawful requests by public authorities.
  • We may share personal information if we believe that your actions are inconsistent with our user agreements or policies, if we believe that you have violated the law, or if we believe it is necessary to protect the rights, property, and safety of PanoCool, our users, the public, or others.
  • We share personal information with our lawyers and other professional advisors where necessary to obtain advice or otherwise protect and manage our business interests.
  • We may share personal information in connection with, or during negotiations concerning, any merger, sale of company assets, financing, or acquisition of all or a portion of our business by another company.
  • We share personal information with your consent or at your direction.
  • We also share aggregated or de-identified information that cannot reasonably be used to identify you.

We don’t sell your personal information, and we don’t share it for advertising.

4. AI Assistants

You can use PanoCool from AI assistants such as ChatGPT and Claude. When you connect PanoCool to an assistant, you sign in to PanoCool and allow the assistant to create tours in your account and to see your tours.

  • What we receive: the photos or photo links the assistant sends for your request, the tour name and description, and a token that identifies your PanoCool account. We don’t receive your conversation with the assistant, and we don’t store other details an assistant sends with a request, such as your language or approximate region.
  • What the assistant receives: the results of your requests, such as the names, links, scene counts and thumbnails of your tours.
  • Tours created from an assistant are published: anyone with the link can view them.
  • The company that provides the assistant, such as OpenAI or Anthropic, handles your conversation under its own privacy policy.
  • To disconnect, remove PanoCool in the assistant’s settings. An assistant’s access ends 30 days after it was last used, and deleting your PanoCool account ends every connection.

5. Data Retention

  • Your account information and content, such as tours, photos and scenes, are kept while your account is open. You can delete a tour at any time.
  • When you delete your account in Settings, we start deleting it right away. Your tours, photos and account information are removed, usually within an hour. We keep a one-way hash of your email address to record that the account was deleted. Copies in our backups are removed when those backups expire.
  • Photos that an AI assistant sends are stored in your account. The temporary copies we make while processing them are deleted when the request finishes.
  • Access given to an AI assistant lasts 15 days and renews while the assistant uses it. It ends 30 days after it was last used, when you disconnect, or when you delete your account.
  • Billing records are kept for as long as tax and accounting laws require. Payments are handled by our payment processor under its own privacy policy.
  • Server logs, which can include your account ID and the tours a request involved, are kept for 14 days for security and troubleshooting, then deleted.
  • PanoCool Assistant chats, notes, issue reports and requests are kept as described in section 7.

6. Your choices

Account Information

You can update your name, photo and bio, and delete your account, in your account settings. Section 5 explains what happens when you delete your account. To get a copy of the personal information we hold about you, or to ask us to correct or delete it, write to us at support@pano.cool. We may keep some information when the law requires it, such as billing records.

Your Rights

Depending on where you live, you may have the right to access, correct or delete your personal information, to get a copy of it, and to object to or restrict some uses of it. To use these rights, write to us at support@pano.cool. If you are in the European Economic Area or the United Kingdom, we process your information to provide the Services you signed up for, to meet our legal obligations, for our legitimate interests (such as keeping PanoCool secure and improving it), and with your consent where we ask for it. You can also complain to your local data protection authority.

Cookies

Most web browsers are set to accept cookies by default. If you prefer, you can usually adjust your browser settings to remove or reject browser cookies. Please note that removing or rejecting cookies could affect the availability and functionality of our Services.

Communications Preferences

You can unsubscribe from our newsletters and other marketing emails with the link in each email. We will still send you emails about your account, such as sign-in codes, invitations and notices about your subscription.

7. PanoCool Assistant

PanoCool Assistant is the chat that opens from the bubble on pano.cool. It answers questions about PanoCool using artificial intelligence (AI) and our published guides. Its answers are generated automatically and can be wrong, so please check anything important.

AI processing

When you ask a question, we send it and the recent messages of the same conversation to an AI service that writes the answer. If you are signed in, we also send your plan and its state: whether it is active, on a trial, cancelled or waiting for a payment, how it is billed, and its next payment or end date. We also send any storage add-on, the storage you use and the AI edits you have left. We never send payment details or amounts. If you keep the “Shared with your question” card, we also send which part of PanoCool you were on, such as the editor tab and the kind of photo you had open. That card never includes project, scene or hotspot names, their text, passwords, domains or links, and you can remove it before you ask. We remove email addresses and phone numbers from questions in free Ask before they are sent.

Ask and Ask Pro

Free answers (Ask) come from outside AI services that may keep your messages and use them to improve their services, so please don’t share passwords or personal details in Ask. Ask Pro, included with paid plans, uses an AI service under terms that keep your chats from being used to train AI.

When AI suggestions are on in the Learning Center search, the words you search for are sent to an AI service that picks the guides that fit. It uses the same AI services as the assistant: for guests and Hobby plans, the free outside services Ask uses, which may keep your search and use it to improve their services, so we remove email addresses and phone numbers first; for paid plans, Ask Pro’s AI service, under terms that keep your searches from being used to train AI. We don’t save your searches or their suggestions on our servers: the suggestions stay in your browser tab until you close it. Guests’ searches are counted against a daily limit in the same way as guests’ questions. What you search for, and the guides you open, are recorded in our analytics service. You can turn AI suggestions off with the AI switch in the search box.

Who can read your chats

If you are signed in, we save your conversations so you can pick them up again, and our support staff can read them to help you and to improve the assistant’s answers. When you keep the card described above, the ID of the project you had open is saved with the conversation for our support staff; it is never sent to the AI service.

Memory

If you are signed in, the assistant keeps a few short notes from your chats so its answers fit you better, unless you turn this off. The notes are about you and how you use PanoCool: for example the camera you use, the kind of work you do, what you build, how experienced you are, the language you write in, problems you ran into, and how you like answers. We tell the assistant never to note names of people, email or postal addresses, phone numbers, links or web addresses, passwords or codes, payment details, the names or content of your projects, scenes or tours, or anything about your health, religion, politics, ethnicity, sexuality or union membership, and we automatically remove any note that contains an email address, a phone number, a web address, a password or a code.

To write the notes, we send what you wrote in a chat, never the assistant’s answers, to an AI service: for an Ask chat, one of the free outside services Ask uses; for an Ask Pro chat, Ask Pro’s AI service. We remove passwords, sign-in details, email addresses and card numbers first, and phone numbers too in Ask. The notes are then sent with your questions to the AI service that writes the answers, so the answers fit you. Notes from Ask Pro chats only ever go to Ask Pro’s AI service, never to the free services Ask uses.

The notes aren’t shown in your account. Our support staff can see them, to answer a request for a copy or to delete them. Notes are deleted 12 months after the assistant last added one, and a note older than 12 months is no longer used. They are also deleted when you clear them, when you turn memory off, and when you delete your account. You can turn memory off or clear it at any time in your account settings, under Help & support. To ask for a copy of your notes, write to us at support@pano.cool.

Guest chats

If you are not signed in, your chat is not saved on our servers. It stays in your browser tab and is gone when you close the tab. To keep daily limits fair, we count guests’ questions using a cookie that holds only a random number, and your IP address; neither is linked to what you asked.

How long we keep chats

Signed-in conversations are kept for 12 months after their last message, and we keep only a limited number of recent conversations per person, removing the oldest first. They are deleted when you delete your account. You can also ask us to delete them at support@pano.cool.

Ratings and analytics

When you rate an answer or send a note about it, the rating, the note, your question and the answer are recorded in our analytics service. So are Ask Pro answers the assistant was unsure about, so we can improve our guides.

Issue reports

You need to be signed in to report an issue from the assistant. With your report we receive what you write, which account sent it, the address of the page you were on, and details about your browser (its type and version, language, screen and window size, and connection type). You can also attach a screenshot of the page, and include the page’s recent technical messages; we remove passwords, sign-in details and email addresses from those messages before they are sent, and again when we receive them. Only our support staff can see reports. When we’ve solved a problem you reported, we may email you to say so. A notice that a report was sent, with its text but never the technical messages, is recorded in our analytics service. Reports and their screenshots are deleted after 15 days, and when you delete your account.

Requests

On paid plans you can send us requests (ideas for PanoCool, or problems) from the assistant or from your account, and follow them up. We keep what you write, the pictures you add, and our replies. To give each request a short title and sort it, we send its text and up to two of its pictures to an AI service whose terms keep them from being used to train AI. Our support staff read requests to answer them and decide what to build; other users never see your request. We email you when a request is done or won’t be planned, and when we reply. A notice that a request was sent, with its kind and topics but never its words, is recorded in our analytics service. Requests are kept until you delete your account, or until you ask us to delete them at support@pano.cool.

8. AI Features in PanoCool

Some PanoCool features use AI, such as photo retouching and object removal, upscaling, depth and 3D views, AI floor plans, connecting photos into a tour, tour translation, and text and design suggestions. These features run only when you start them. When you do, we send the photos or text you chose to AI service providers (for example Google, OpenAI and Anthropic through Vercel AI Gateway, as well as Replicate and World Labs) and save the result to your tour. We don’t use your content to train AI models. AI assistants such as ChatGPT and Claude are covered in section 4, and the PanoCool Assistant in section 7.

9. Where We Store Your Information and How We Protect It

We store your information with service providers in the United States. If you use PanoCool from another country, your information is transferred to and processed in the United States. Published photos and videos are also delivered through a content delivery network, which keeps temporary copies on servers around the world, close to the people viewing them.

We protect your information with measures such as encrypted connections (HTTPS) and encryption of stored photos, videos and audio, and we limit access to the staff who need it. No way of sending or storing information is completely secure, so we can’t guarantee absolute security.

10. Children

PanoCool isn’t directed to children under 13, or under 16 in the European Economic Area, and we don’t knowingly collect their personal information. If you believe a child has given us personal information, contact us and we will delete it.

11. Changes to This Policy

We may update this policy from time to time. When we do, we change the date at the top of this page, and for important changes we also let you know by email or in PanoCool.

12. Contact us

If you have any questions about this Privacy Policy or how we handle your information, contact us at support@pano.cool.
