Business team
On the Business plan, you work on your tours with a team. Each member signs in with their own PanoCool account (a free account works) and works on your projects on your plan: its features, its storage and its AI edits. Plan details: Business plan.
How to: open Team in the menu on the left of your projects page or in the menu under your profile picture, or go to https://pano.cool/account/team
- Seats: the plan includes 5: you and 4 members. Editors and viewers each take a seat, and so does each invitation waiting for an answer.
- Your projects are the team’s: every project in your account is a team project, including the ones you made before Business. Your members see all of them, unless you let projects be kept private (see Private projects). A project a member makes in the team belongs to your account, and its card says Made by and their name.
Invite members
- On Team, under Invite someone, enter the person’s email address, pick Editor or Viewer, and click Send invite.
- They get an email, “You’ve been invited to join a team on PanoCool”. View invitation in it opens the invitation: they sign in, or create an account, with the email address the invitation went to, and click Accept or Decline.
- Until they answer, People lists them as waiting for an answer, and the invitation holds a seat.
- They can also answer on their own Team page. Their projects page says “You’re invited to join a team.” with View.
- Invite by email only. The person’s name shows under People once they join.
- Change a role with the menu next to a person: Editor or Viewer.
- Remove… takes a member out of the team, and Cancel invitation… withdraws an invitation, so its link stops working and its seat is free again. Both ask first. A removed member keeps their own account and projects; the projects they made in the team stay yours. To come back, they need a new invitation.
- A member leaves with Leave team… on their Team page, with the same result.
- An account can be in one team at a time: to join another, it leaves its team first. An account with its own Business plan can’t join a team, and nobody can join a team whose Business plan has ended.
Roles
- Editor: opens and edits the team’s projects, password protection included, and creates new projects in the team. An editor can delete the projects they made.
- Viewer: has read-only access to the team’s projects, so can’t edit them. A viewer’s new projects go to their own account.
- Only the owner manages the team, its seats and its sharing setting; adds custom domains, the white-label domain and aliases; shares projects with people outside the team (Manage Access); duplicates projects, exports them and buys their Windows apps; transfers or copies projects to another account (Transfer or copy), so a project leaves the business only through the owner; and opens the Trash.
- To see whose team a project belongs to and your role in it, click the people icon on its card.
Seats and "5 more members"
- On the Team page, Invite someone shows how many seats are used, for example “7 of 10 seats used”, and Seats shows how many you have and how many are left, for example “10 seats, 3 left: 5 with your plan and 5 more members.”
- Add 5 members… adds a “5 more members” pack: $79/month, billed yearly ($948/year). The dialog shows the price first: what you pay now for the time left until your plan renews, and what the plan then renews at. Confirm with Pay and the amount.
- When every seat is taken, the Team page says so and offers to add 5 more members. Add as many packs as you need.
- Remove 5 members… takes a pack off. Its 5 seats go at once, so your team, waiting invitations included, has to fit in the seats left first. The plan then renews at the lower price, and nothing is refunded for the time left.
- Swapping one person for another costs nothing: remove one, then invite the other.
- If Seats shows Ask us for more seats instead, for example on a plan PanoCool set up for you, use it to ask PanoCool for more.
Team projects and your own
A member’s projects page has two buttons that switch between the team’s projects (the button named after the team, “{owner’s name}'s team”) and Your projects:
- The team’s projects: what you create there belongs to the business. It uses the Business plan, its storage and its AI edits, and it stays with the business if you leave.
- Your projects: your own projects and those shared with you. What you create there is yours, on your own plan, without the Business plan’s features.
- A viewer’s new projects always go to Your projects.
- Joining a team starts you in the team’s projects. The choice is saved on your account.
- Opening a team project you edit moves you to the team’s projects, and opening a project of your own moves you to Your projects, so the AI edits you spend match the tour.
- A team project always uses the Business plan, whichever button is picked.
Private projects
- The owner decides on the Team page, under Projects, with Members can keep projects private. Off, the default, everyone in the team sees every team project.
- On, a member can keep a project they made to themselves and the owner: Keep private in the project card’s menu. Share with the team shares it again. A private project shows Private on its card.
- The owner sees members’ private projects too, and can keep any of their projects from the team the same way.
- Turning the setting off shares every project with the team again.
AI edits in the team
- The plan’s 500 AI edits a month are one pool for the team. While an editor works in the team’s projects, all their AI work spends the pool: in the editor, and in PanoCool Retouch and the other tools too.
- Work in Your projects, and a viewer’s AI work, spends the person’s own AI edits. AI edits a member buys for their own account can’t be used for the team’s projects.
- AI edit packs and an AI plan bought on the owner’s account add to the pool. A member who runs short asks the owner to add more.
- A member’s Billing & Usage page shows their own AI edits under AI tokens and, while they work in the team, how many are left in the team’s pool.
When Business ends
When the owner moves to another plan, or Business ends after a cancel or a failed payment:
- Members lose access to the business’s projects. The projects stay with the owner.
- Any “5 more members” packs end.
- The memberships are kept, so the team comes back if the owner subscribes to Business again.
- Members keep their own accounts and projects. What they create goes to their own account, and their AI work spends their own AI edits.
- The Trash can’t be opened any more. Projects already in it are deleted for good when their 30 days are up; to get one back before then, email support@pano.cool.
- The owner’s account follows its new plan, as for any plan change or cancel: see Change, downgrade or cancel a plan.
- A failed payment: while a Business renewal payment is overdue, members can’t open the team’s projects. Paying brings them back; after 7 days unpaid, Business ends.
